Batch Importing of Property and Rental Data

June 10th, 2010

We’re happy to announce a batch import system for adding your properties and rental data to your Destination Analytics account!  We’re really excited about this new feature because of the vast amounts of time it’ll save you.  Whether you have 10 properties or 1000, the time it will take to import your properties and rental data is only as long as it takes you to export your data to a spreadsheet.  As always, if you have any questions, problems, or suggestions about anything, feel free to contact us at support@destinationanalytics.net.  Now on to the good stuff!

It’s very simple to import your properties or rental data.  Here’s some screenshots from the property import process.  The rental data process is very similar, just look for the Import Rental Data From File button at the bottom of the Rental Data page.

Just click the Import Properties From File button.

We’ve provided some basic importers for specific types of systems.  Click on the link to the management system you’re using in Step 1 for instructions on how to export your data in a format we can accept.  Then just select that type in Step 2, and pick your exported file in Step 3.

Once you’ve sent us the file, we’ll do a bit of checking to make sure the format matches what we expect it to be to ensure that the import will go smoothly.  If you see an error in this step, you need to make sure the column headers in your spreadsheet match those from the instructions for your property management system.

Click Confirm the Import and we’ll process your data.  You’ll get a report at the end that tells you how many records were successfully imported and how many were skipped.  If any were skipped, you’ll see a list of the reasons those entries were skipped.  Entries maybe skipped if you’re trying to import a property with a name that you’ve already added, or if there is no zip code.  Rental data may be skipped in the event you’ve tried to import an entry that overlaps with an existing one or if the data is for a property that isn’t added to the system.

You’ll need to import your properties only once, or whenever you add new properties to the system.  Rental data is a little different in that you’ll need to upload your exported rental data on a regular schedule.  It’s up to you to decide on your schedule, whether it be once a week, once every other week, or even every day if you’d like.  But remember, the more often you upload your rental data, the more accurate, useful, and timely your reports will be.
